WEMUN Conferences – Terms and Conditions

These Terms and Conditions (“Agreement”) govern the participation of all delegates (“Participants”) at WEMUN Conferences (“Events”).

The information provided on this website is intended for general audiences and may not apply to specific geographical regions. WEMUN endeavors to ensure that all content on its site is accurate and current but reserves the right to modify information at any time without notice.

 

  1. Eligibility and Registration

  1. Participants must be 13 years or older at the time of registration to attend any WEMUN Conference.
  2. Delegates must register through the official website: wemun.org.
  3. Participants are responsible for ensuring the accuracy of their submitted information, including dietary or accessibility needs. WEMUN is not liable for errors made by applicants.
  4. WEMUN is not responsible for decisions made by government or public authorities, including denial of visas or travel permissions.

 

  1. Delegate Responsibility and Liability

  • Delegates are personally responsible for their safety and security during their stay in the host city.
  • WEMUN disclaims liability for any loss, damage, or bodily injury, unless caused solely by the gross negligence or willful misconduct of WEMUN.

 

  1. Registration Deadlines & Application Process

  • Delegates must adhere to all registration deadlines for both individual and group registrations.
  • Application review is based on:
    • Council capacity limits
    • Availability of country/entity preferences
  • Delegates can choose from:
    • Non-Accommodation
    • Accommodation
    • Full Experience Packages

Each category has distinct pricing. No deadline extensions will be provided unless formally announced.

 

  1. Simulation Entity Allocation Policy

  • Simulation allocations (countries, NGOs, companies) for the second day are conducted through the official WEMUN app.
  • WEMUN does not guarantee availability of preferred entities.
  • Participants must choose another available option if their preferred entity is unavailable.

 

  1. Intellectual Property

All content including website design, trademarks, graphics, and other intellectual property (“WEMUN Content”) is owned or licensed by WEMUN. Unauthorized use is prohibited.

You may not:

  • Distribute, modify, repost, or use WEMUN content for public or commercial use without written permission.
  • Use WEMUN content to benefit any other website or platform.

You may:

  • Print one copy of any webpage for personal reference.

 

  1. Visa Support

  • Visa support letters will be issued within 14 days of request for confirmed participants, if requested within 100 days of the event.
  • These letters enhance but do not guarantee visa issuance.
  • WEMUN is not responsible for any visa denial or travel restrictions and will not offer refunds in such cases.
  • Delegates are responsible for securing their own visa in a timely manner.

 

  1. Rebranding/Name Change

WEMUN reserves the right to rebrand or change the name of any conference without prior notice. The content and purpose of the conference will remain unchanged.

 

  1. Mode of Payment

  • Payments are accepted only through www.wemun.org.
  • WEMUN is not responsible for payments made to unauthorized individuals.
  • Accepted methods: Credit/Debit Cards and International Wire Transfers.

 

  1. Refund Policy

  • All payments are non-refundable.
  • However, delegates who have paid in full may:
    • Transfer to another WEMUN event, or
    • Receive a Credit Voucher under the conditions of the Credit Voucher & Transfer Policy.

 

  1. Credit Voucher & Transfer Policy

A transfer or voucher is only available if:

  • Full conference fee is paid.
  • Request is made within 20 calendar days of payment or receiving the app invitation (whichever is later), OR
  • The request is made at least 60 days before the event.

If requested between:

  • 59–45 days before event: 30% cancellation fee applies.
  • 45–30 days before event: 50% cancellation fee applies.
  • 29–15 days before event: 70% cancellation fee applies.
  • Less than 15 days before event: 100% fee retained as No-Show.

Partial payments are not eligible for voucher or transfer.

 

  1. Code of Conduct

  • All submitted information must be truthful and original. False details or plagiarism may result in disqualification and legal consequences.
  • Delegates must obey the laws of the host country and will be held personally responsible for any damages or misconduct.
  • Participants agree not to misuse the WEMUN name. Any actions that harm the reputation of the conference may result in penalties or legal action.
  • WEMUN is not liable for participants’ misconduct or crimes.

 

  1. Jurisdiction & Governing Law

  • For payments processed in the UAE: UAE laws and courts apply.
  • For payments processed in the USA: U.S. laws and courts apply.
